It is important to take note that group reservations are much different than individual bookings. In order to get special rates and concessions, the wedding couple has to sign a contract with the hotel or resort that makes them financially responsible for the entire room block. Yes, you read that correctly! It is absolutely essential that the wedding couple be very familiar with the terms and conditions of the contract, final payment dates, cancellation dates, and attrition dates. Travel advisors who specialize in group reservations are experts at handling contracts. Epic Adventures Travel will make sure you understand the entire process from start to finish. We will also ensure that you, the wedding couple, are financially protected. We keep track of the important dates and manage your guests’ reservations for you. In addition, we make sure that each guest signs a set of terms and conditions. Are you familiar with chargebacks? Let’s say one of your guests has paid for their entire room reservation but, for some unforeseen reason, they cannot travel last minute and it’s too late to cancel their room reservation. That person can call their credit card company and file a chargeback, or payment dispute. If you, the wedding couple, do not have terms and conditions from that guest in writing, the credit card company will automatically side with their customer! It is so, so important to protect yourself from these types of scenarios. Epic Events Travel handles all of this paperwork for you.
Epic Events Travel can also simplify the booking process for you and your guests. We can create a personalized website for your wedding group that allows each guest to login and make their own reservation from the room block. We can even set up payment plans! Your guests can pay directly on the website or we can send a payment link via email. The website will also list all of the pertinent information about your wedding ceremony, the travel arrangements, and the property you will be staying at!
